Reservations: Please call or email us to schedule your party at least 3 weeks in advance of your party date. Once you have chosen a party date and time, we will hold your reservation for one week to give you time to complete the guest list, sign the party agreement and return it to us with your deposit. Your deposit will secure your reservation and be deducted from your final bill.
Deposit: A non-refundable $100 deposit is required to secure your party date.
Forms of Payment: We accept cash or check made payable to Teacups and Trucks, LLC. The balance of the party is due the day of the party. If you prefer to pay by credit card, the final balance can be paid via a Paypal Money request sent to you from Teacups and Trucks, LLC and paid at least 3 days prior to the event. A service fee of 5% will be added to any amount paid using Paypal. Please let us know at least one week in advance if you wish to pay with a credit card.
RSVP Confirmation: Please contact us at least four days prior to your party date to confirm your final guest count. This will be the number we use to determine quanities for costumes, favors, and crafts, and will charge accordingly.
Guests/Attendance:
- Minimum/Maximum attendance: We strive to provide a high quality party and to ensure maximum participation. There is no minimum attendance, but any party with less than 10 children will be billed at the regular rate. Parties over 15 children may incur additional charges.
- Attendance of guests: We understand that some guests may not show up to the party, even if they RSVP. Unfortunately, we will still charge according to the final guest count that you provide prior to the party, not the number of children that show up.
- Siblings of guests: Our parties only cover the guest of honor and their guests. Please include any siblings in the final guest count if you would like for them to participate in the party activities.
- Guest attire: Many of our parties include costumes/dress up. The children will not be getting undressed, we ask that the girls come prepared wearing a leotard or bathing suit under their party attire. Boys wear costumes over their clothes.
Discipline and non-participation: The party hostess is responsible for the flow of the party. We kindly ask that you monitor disruptive behavior and attend to any child who does not want to participate. This will help us provide the best possible party experience for the children.
Outdoor Parties: If the weather is nice, you may wish to host your party outdoors. The children will not be permitted to go into grassy or dirt areas while in costumes provided by Teacups and Trucks. We reserve the right to determine if the outdoor area is suitable for our supplies. Please provide an area indoors for the children to change into costumes. In addition, please have a back-up indoor location available to accommodate guests in case of inclement weather. Remember that children may not want to dress up and may not enjoy the party as much if it is too hot and humid outside. Please advise Teacups and Trucks of the possibility of an outdoor party in advance.
CANCELLATIONS / RESCHEDULING
- Cancellations and rescheduling: Once your party is booked and the deposit is paid, the party can only be postponed one time. Based on availability, we will gladly work with you to reserve another date for your party. If you decide to cancel your party for any reason, the deposit is non-refundable.
- Inclement Weather/illness: In the event of severe weather or unforeseen illness, Teacups and Trucks reserves the right to reschedule your party. If you choose to cancel your party, please remember that your deposit is non-refundable. We will gladly work with you to reschedule your party for an alternate date.
LIABILITY / DAMAGES
Liability: Teacups and Trucks, it’s owners and employees assume no responsibility for accidents, clothing or make-up injuries to guests, or property damage. As professional party planners, we can assure you we will provide a safe and fun environment for your guests.
Damages: We understand that accidents happen, however, the client may be held responsible for excessive damage to costumes and property of Teacups and Trucks.
Other considerations: For purposes of maintaining the highest quality for our costumes, we kindly ask that any food and beverages that will be served while in Teacups and Trucks costumes be approved beforehand. Beverages should be light colored or clear (no fruit punch). We reserve the right to refuse certain food items that may damage our costumes. Please let us know ahead of time what food items you would like to serve. We will be happy to provide you with a suitable food menu. Although we understand accidents happen, the client may be held responsible for excessive damage to Teacups and Trucks property.
Client Obligations:
- Provide a safe and clean area for dress-up, and all activities.
- Remain with/near the party at all times.
- Provide a smoke-free environment.
- Provide a gathering place for parents of the guests who wish to stay.
